New Features & Enhancements

Client PersonalID Lookup can now map enrollments

The Client PersonalID Lookup export has a new “Map Enrollment IDs” option. Turn it on and you get one row per enrollment, with both the HMIS Enrollment ID and the Warehouse Enrollment ID, instead of one row per client. The export also has a new Data Source column, and the “Warehouse ID” column is now called “Warehouse Client ID” to make clear which ID it holds. Client names now follow your permission to see personal information for each project, so a name is hidden on any row where you don’t have access to it. You’ll also need to choose at least one filter before you run the export.

Manage Coordinated Entry eligibility rules from the Admin area

Communities that use Coordinated Entry in HMIS can now create and manage the eligibility rules that decide which clients are candidates for units. Go to Admin, then Eligibility Rules. You can set rules for the whole system or for a specific organization, project, or unit group, and each level shows which rules it inherits from above and which are its own. Rules are built from client fields and custom assessment questions. They include “Has a value” and “Does not have a value” checks, and a free-text editor handles more advanced rules. System-wide rules can also be limited to certain funders or project types. You can view, edit, and delete existing rules. Before you save a change that would remove a large number of current candidates, a warning shows you which unit groups would be affected.

Referral history now shown on the Unit page

A new Referral History tab on the Unit page lists every referral made to that unit, including referrals from earlier times the unit was accepting referrals. Each row shows the client, status, who made the referral, the referral date, the last update, and where the referral came from, and it links to the full referral. The Unit page also stays open for reviewing past referrals after its unit group stops using a waitlist. The tab only appears for users who have permission to see referrals.

More options for building project groups

When you set up a project group in HMIS, you can now include or exclude projects by CoC code and exclude projects by organization. A new “Exclude closed projects” option keeps a group limited to projects that are currently open, so you can build a group such as “all open projects in this CoC.” Membership updates on its own as projects open and close. Project groups also now have a Notes field, like Warehouse project groups, where you can record what a group is for.

Secure files are now organized into tabs

The Secure Files page now has separate, paged tabs for Received files (the default) and Sent files. Administrators who can see every upload also get an All Files tab. If you can receive secure files, you’ll now see the files you sent as well as the files sent to you. Each file shows the date it will be removed, and you now have to choose a recipient before you can upload.

Data Quality Tool no longer flags VAMC Station for veterans who aren’t Head of Household

HUD and VA guidance requires a VAMC Station Number only for the Head of Household. The Data Quality Tool was also flagging other veterans in the household when it was missing. Those household members no longer count toward this check, so its flagged count and total may go down.

Page position is kept when you go back

On the Referrals, Available Units, Eligible Clients, and project Households tables, the page you were on is now saved. If you open a record and then use your browser’s Back button, or refresh the page, you return to the same page of results instead of the first page. Changing a filter still takes you back to page one.

Safeguards for HUD-required questions in the form builder

Questions linked to HUD data elements are now marked in the form builder. Only super-admins can delete them or change certain settings on them. Administrators can still change things like labels and help text. This helps prevent edits that could break HUD reporting.

Income and benefits entries are checked for contradictions

Income and benefits forms now reject answers that contradict each other and ask you to fix them. For example, you can’t enter income amounts unless “Income from Any Source” is Yes, and you can’t mark a benefit or insurance type as Yes unless the matching “from any source” or “covered by health insurance” answer is Yes. This keeps the recorded data consistent and HUD-compliant. The form points out the problem instead of guessing what you meant.

Bug Fixes

HUD report PDFs now show every column and special characters

PDF exports of HUD reports (APR, CAPER, Data Quality, and CE APR) could cut off the rightmost columns on wide tables, and some characters came out garbled (for example, “Doesn’t Know/Prefers Not to Answer”). Wide tables now shrink to fit the page, and special characters print correctly.

APR and CAPER non-cash benefit counts corrected

In the FY2026 APR and CAPER, question 20b (Number of Non-Cash Benefit Sources) counted clients who answered “No” to receiving benefits from any source under “Data Not Collected.” They now appear under “No Sources,” as expected.
